1. Scope
This Policy explains how GEMx LLC collects, uses, and discloses information for Field Budget, at fieldbudget.com and agrowknow-field-budget.netlify.app and through its applications, budgets, actuals, receipts, exports, maps, field tools, subscriptions when offered, support, and communications. Shared AgrowKnow identity, workspace, field, and billing services support Field Budget. This Policy covers that processing for Field Budget; other products provide their own notices.
We initially offer the Service in the United States. Farm or business information can be personal information when linked to a person. Public statistics or map boundaries do not make your account's association with a field, private records, or management choices public.
2. Information collected and its purposes
Account information includes your shared AgrowKnow identifier, email, display name, optional contact details, workspace and product status, preferences, and legal acceptance records. Shared sign-in providers process authentication under their own policies; basic Google sign-in does not request Gmail messages, Drive files, or contacts.
Customer Data may include farm names, field boundaries and locations, crop history, irrigation, APH and yield inputs, rent and land agreements, prices, cost programs, manual overrides, saved plan versions, actual expenses, receipt images and attachments, allocations, harvest, inventory, and sales. We process these records to provide the planning, recordkeeping, sharing and export features you use.
Technical and support information may include connection details, device and browser information, service logs, errors, authorized usage measurement, support correspondence, and message-delivery or suppression records. We use these to operate, secure, support and maintain the Service and honor choices.
3. Maps, location, and source requests
Saved coordinates and boundaries are used for geographic analysis even without device-location permission. Where a current-location control is available, it uses location when you select it and grant browser or device permission. You can withdraw permission in settings; this does not delete saved field coordinates. These controls do not continuously track movement in the background.
Map, geocoding, crop, soil, terrain, and weather requests may disclose selected areas, coordinates, sample points, or identifiers to their providers. Providers include Esri for basemaps and relevant government sources such as USDA, USGS, and NASA. Geographic lookup tools may use the U.S. Census Bureau or BigDataCloud. Direct browser requests also disclose connection information such as IP address. Public-source county processing is distinct from your private saved-field records.
4. Shared services, providers, and disclosures
Field Budget does not currently provide Ask AI or automated AI briefings. Private budgets and receipts are not submitted to an AI model by those unavailable features.
Shared services and authorized participants: account, workspace, field, and entitlement information supports your authorized use of AgrowKnow products. Owners, administrators, members, and authorized support staff can access information needed for permitted responsibilities. Enrollment or sponsorship alone does not authorize access to another person's private records.
Hosting and processing: Supabase supports identity, database, and storage; Netlify supports web hosting. Authorized infrastructure providers also support field-layer processing and storage. Providers receive information necessary for their functions under applicable service arrangements.
Payments and communications: Stripe processes purchases where offered. If native store purchases are offered, Apple or Google Play and an identified purchase-management provider, such as RevenueCat, process transaction and entitlement identifiers. Authorized message-delivery providers process recipients, content, and delivery or suppression records. Payment and sign-in providers may have independent legal duties and privacy policies.
Other disclosures: sponsors receive information needed to administer funded access, without gaining field-data permission merely by paying. We disclose to recipients you authorize, professional advisers where needed, authorities under valid legal requirements, and parties reasonably necessary to protect rights, safety, or security. A business transaction may transfer information subject to applicable law, protections, and required notice; it does not authorize uses contrary to this Policy.
We do not sell personal information or identifiable private farm records, share personal information for cross-context behavioral advertising, or use private Customer Data to train general-purpose AI models. Separate research use or a change to these limits requires clear advance disclosure and separate affirmative permission. Declining optional permission does not reduce purchased access. These limits apply across the shared platform and to providers acting on our behalf.
5. Browser storage and tracking choices
The Service stores sessions, preferences, cached information, recoverable budget drafts, and pending saves in your browser or device. Necessary sign-in, payment, map, and hosting services may use storage and process connection information. Internal usage measurement may be linked to your account; it is separate from third-party targeted advertising.
We do not use private Customer Data for targeted advertising across unrelated websites. Clearing local storage may sign you out, reset preferences, or remove unsaved local drafts; it does not erase saved server records. Exports may remain on your device or with recipients after server records change. We do not currently alter operation in response to the legacy Do Not Track setting. We honor legally valid opt-out preference signals for covered processing where required by law.
6. Communication choices
A budget notice or in-app alert does not automatically enroll you in a separate email marketing list. Where optional emails, notifications, or marketing are offered, use the displayed preferences or unsubscribe mechanism. Essential security, account, billing, invitation, and legal messages may still be sent. Limited suppression information is retained as needed to honor opt-outs.
Providing a phone number or accepting Terms is not blanket permission for unrelated marketing calls, automated marketing calls, or texts.
7. Retention, cancellation, and deletion
We keep information for as long as reasonably necessary for the stated purposes, considering active account and workspace use, support needs, security, legal obligations, and disputes. Subscription cancellation or trial expiration changes access and does not automatically delete field records. We retain limited billing, tax, payment-dispute, security, and audit records when necessary even after a deletion request; those records are not a reason to keep unrelated product information indefinitely.
Contact support@gemxag.com to request access, correction, an export, or deletion. Specify whether you want to remove Field Budget data or delete your shared AgrowKnow account. We verify requests appropriately and explain the effects on other products, subscriptions, and records maintained by an organization or other authorized users. We do not require you to send passwords or full payment-card numbers. A request involving another person's information or an organization's shared records may require an additional permission check.
We assess retention by information category. Account and field records are kept while needed for your account or an authorized shared workspace, unless a valid deletion request or another applicable requirement calls for earlier removal. Payment and tax records are retained for applicable accounting, tax, and legal requirements and to resolve related disputes. Security and audit records are retained only as needed to investigate incidents, prevent misuse, resolve disputes, or meet legal obligations. Limited suppression records may be retained to honor communication opt-outs.
We process verified deletion requests within applicable legal deadlines. If information must be retained, we explain the relevant categories and reasons, subject to legal restrictions. An optional account-recovery period, if offered, will be explained when requested and will not override applicable deletion rights. Residual backup copies remain protected and are removed through the applicable backup-retention process; they are not used for routine product activities. If a backup is restored, applicable deletion requests must be reapplied. We do not promise that subscription cancellation immediately erases all records or that every category has the same retention period.
8. Privacy rights
Depending on where you live, the capacity in which you use the Service, and applicable law, you may have rights to confirm processing, access or obtain a copy of personal information, correct inaccuracies, delete information, obtain a portable copy, withdraw consent, or opt out of specified sales, targeted advertising, or profiling. Some jurisdictions provide rights concerning sensitive information and authorized agents. These rights may have legal exceptions.
Send requests to support@gemxag.com. We will verify identity or authority only as reasonably necessary, respond within applicable legal deadlines, and explain any denial and available appeal. Where an appeal is available, reply with “Privacy appeal” and identify the decision you want reviewed. You may also contact the appropriate privacy regulator or state attorney general. We will not unlawfully discriminate against you for exercising privacy rights.
9. Security, processing locations, and children
We use safeguards intended to protect information, including authenticated access and workspace permissions. No system can guarantee absolute security. Please protect your account and notify support@gemxag.com of suspected misuse. We handle security incidents and required notices under applicable law.
We operate in the United States and use providers that may process information in other countries where they and their subprocessors operate. This Policy does not promise U.S.-only storage.
Field Budget is a general-audience agricultural information and planning service and is not directed specifically to children under 13. We do not knowingly collect personal information from children under 13 without legally required parental notice and verifiable consent. If we learn that we have collected a child's personal information without those protections, we will take steps to delete it unless retention is permitted or required by law. A parent or guardian may contact support@gemxag.com with questions or a request concerning their child's information.
10. Changes and contact
We will post the effective date of this Policy and provide appropriate notice of material changes. We will obtain consent where required before materially different processing. Continued use alone does not override legally required consent or authorize retroactive changes to our prior privacy promises.
